Refund Policy
At OGPD, we are committed to delivering a high-quality and seamless experience for all participants at our conferences and global programs. We understand that, in certain situations, delegates may need clarification regarding refunds. This Refund Policy outlines the terms, conditions, eligibility criteria, and limitations governing refund requests for registrations made through our official platforms.
General Principles
- All applicants must review and agree to OGPD’s Terms & Conditions before completing registration.
- By registering for any OGPD event, participants acknowledge and agree to all clauses of this Refund Policy.
- All approved refunds are issued exclusively in the form of OGPD Credit Vouchers (OCVs). These may only be redeemed for future OGPD conferences or events.
Non-Refundable Categories
The following categories are strictly non-refundable and non-transferable:
- Fully Funded Applicants
The application fee under the Fully Funded category is mandatory, non-refundable, and cannot be disputed or transferred.
- Invitation Letter Only Applicants
Fees paid for an Invitation Letter category are non-refundable and non-transferable. OGPD provides the invitation letter solely for visa-support purposes. Securing a visa is the applicant’s responsibility.
Eligible Categories for OGPD Credit Vouchers (OCVs)
Important: All approved refunds will be provided in the form of OGPD Credit Vouchers (OCVs), which can be redeemed for future OGPD conferences or events only. Delegates applying as:
- Self-Funded Delegates
- Forum Access Pass Delegates
may be eligible for an OCV only if all conditions below are met:
Eligibility Conditions
- Full fee has been paid in a single transaction. Installment payments are not eligible for OCVs.
- Refund request must be submitted at least 45 days before the event start date.
- Requests must be sent via email to: info@theogpd.org
Subject line: Refund Request – [Conference Name] - The delegate must provide:
- Full Name
- Order Number
- Reason for the Refund Request
- Any supporting documents (if applicable)
Cancellation Fees & OCV Issuance Timeline
The following cancellation fee structure applies to eligible categories:
45 days prior to conference: no cancellation fee and full balance refunded as OGPD Credit Voucher (OCV).
Between 45 and 30 days prior to the conference: 25% cancellation fee, remaining balance refunded as OCV.
Between 30 and 15 days prior to the conference: 50% cancellation fee, remaining balance refunded as OCV.
Between 14 and 0 days prior to the conference (or no-show): 100% cancellation fee, no refund.

Installment Plan Clause
If a delegate has paid only the first installment:
- The first installment is considered a non-refundable cancellation fee.
- No OCV will be issued for installment-based registrations.
OGPD Credit Voucher (OCV) Terms
To ensure transparent usage, OCVs are subject to the following conditions:
- Validity: 12 months from the date of issuance.
- Non-Transferable: Can only be used by the original recipient.
- No Cash Value: Cannot be redeemed or exchanged for money.
- Single Holder Use: Cannot be transferred to another applicant or event attendee.
- Partial Use: Any unused amount remains valid until the OCV expiry date.
- Usage Limitation: OCVs can only be applied toward OGPD-organized conferences and events.
Special Circumstances (Force Majeure)
In the event of unforeseen circumstances, we reserve the right to modify, postpone, cancel, or change speakers, topics, dates, times, and locations without liability. We will update any changes on our website or social media.
In the case of unforeseen events beyond our control (natural disasters, political unrest, government restrictions, pandemics, or other force majeure events), OGPD reserves the right to review refund requests on a case-by-case basis. OGPD shall not be held liable for any direct or indirect losses caused by such events.
Travel Reimbursement (Fully Funded Delegates)
Fully Funded Delegates who attend the entire conference will receive a form to complete for travel reimbursement. The form will request basic information and bank account details. Reimbursement processing can take 4-8 weeks after receiving the completed form.
Policy Amendments
OGPD reserves full discretion to revise, update, or amend this Refund Policy at any time.
- Updated versions will be published on the OGPD official website.
- Continued use of the registration platform constitutes acceptance of revised policies.
